Day -of Coordination
Perfect for the client who embraced and enjoyed planning the work,
but now needs support in working the plan to enjoy an event that you
Dreamed would be so Grande!

In Preparation for the Event Day:g

  • Initial consultation with Jennifer Evans
  • Unlimited phone and email contact between date of contract and date of event
  • Creation and coordination of event timeline
  • Vendor coordination & confirmations one week prior to event corresponding to your timeline
  • Coordination of and attendance at the ceremony rehearsal (if applicable)
  • Work together with your assigned Maitre’d, catering staff & banquet captain to ensure your event flows with precision

The Event Day:

  • One Dream Team coordinator to arrive at clients location to assist in morning preparation
  • One Dream Team coordinator to oversee set up of ceremony and reception locations as well as oversee the duration of your event
  • Check bride and groom into wedding night hotel (if needed and applicable)
  • Oversee set up of event ceremony, including but not limited to; 
  • Floral arrivals, placements & distributions (arrangements at alter, proper pinning of boutonnieres, distribution of bouquets, ring bearer & flower girl items)
  • Proper placements of specialty items (unity candles, sand ceremony vases, special touches, etc...)
  • Distribution or placement of ceremony programs
  • Connectivity with ceremony musicians and making sure the musical selection is correct
  • Ensuring that all guests are seated as the processional and recessional walks take place (if applicable)     
  • Arrangement of processional and recessional (if applicable)
  • Arrangement of receiving line (if applicable)
  • Oversee setup of event reception, including but not limited to;
  • Escort and place cards, guest book, menu cards, favors, centerpieces, photos,  specialty items, and putting the finishing touches on your event
  • Ensuring each table is set according to the final seating chart
  • Prepare “Guests of Honor” for scheduled Grande entrances, introductions, parent dances, cake cutting, speeches, etc…
  • Properly cue and prepare any guest(s) making speeches, blessings or toasts
  • Make certain that bridal party is lined up properly for introductions and in the correct order (if applicable)
  • Provide event emergency kit which includes a variety of essentials that may be needed (if applicable)
  • Distribution of final payments and vendor gratuities on your behalf
  • Help to ensure all gifts and personal items are safely removed from site
  • Attend to unforeseen challenges and obstacles that may occur and answer any guest questions or concerns
  • Ensuring that all parties involved are kept in the loop and receive the proper attention and care to ensure a stress-free and memorable event

Event Planning & Coordination

Planning the perfect event and picking the proper vendors to suit YOUR needs can be a challenging and time consuming task. 
With our expertise and professional relationships, we can relieve you of these demands so you can enjoy a stress-free and flawless event!

Package Includes “Dream a Little Dream” Day of Coordination  PLUS:

  • Creation and coordination of event budget and implement strategies to coincide with your budget needs and wants
  • Ensure that proper dispersal of event funds are managed properly and to your liking
  • Creation of event timeline & checklist
  • Vendor coordination & confirmations one week prior to event corresponding to your timeline & checklist
  • Research, assistance and recommendations in vendor selections. Included but not limited to; venue, entertainment, florist, photography/videography, baker, caterer, transportation, officiate, prop rentals, etc...
  • Arrange venue/vendor site visits if needed
  • Venue/Vendor contract review and negotiations of final vendor selections (if necessary)
  • Attendance at up to 3 vendor appointments (i.e.; venue, florist, entertainment) or attendance at ALL vendor appointments if client so desires *(additional fees apply)
  • Assistance with menu selections and attendance at tastings with caterer and baker
  • Provide recommendations for hotel accommodations for you and your guests
  • Drop off out-of-town gift bags/welcome baskets to hotels (if applicable)
  • Address any wedding related issues or concerns prior to wedding day
  • Serve as the “guide by your side” and ultimately become a great friend that you can count on to make your dreams come true
  • Jennifer Evans will personally attend and oversee the duration of your event

It all starts with a theme and color scheme and ends with a dream come true! Let’s work together to conceptualize and articulate a desired vision into a celebration you, your family and guests will remember forever!  Designing an event of your dreams takes a “team” of industry professionals to execute the transformation. While your venue may be marvelous, it may be lacking those special elements reflective of your overall style and vision. Professionals in floral, lighting and design in conjunction with “Jennifer Evans Events” design esthetic, together can make magic happen and the impossible become possible!

Package Includes “Dream a Little Dream” & “Dream Lover”
Event Planning & Coordination PLUS:

  • Consultation meeting with Jennifer Evans to discuss your overall vision, style, likes, dislikes, color palette, wants and needs
  • Creation of virtual inspiration board reflective of the overall vision, design theme and color scheme discussed during consultation
  • Creation of entire event design, theme and décor concept development
  • Provide distinctive ideas, personal touches and dimension to the overall vision
  • Work directly with hired designers in floral, lighting, & physical components like, furniture, drapery, flow lighting and custom work.
  • Create cohesiveness for the ceremony and reception décor look
  • Concept creation for printed stationary, save-the-dates, invitations, escort & place cards, programs, menus,  specialty signage, etc…
  • Suggest and articulate ideas regarding tableware, tablescape, decorations, centerpieces, focal point table, guest book table, place card table, favor selection, theme based items, etc… 
  • Development of unique themed wording to coincide with the event theme for invitations, signage, menu options, table names, specialty tables, etc…)
  • Scouring shops for unique items via internet and specialty shops (because at the end of the day, every detail counts!)
  • Suggest ideas for bridal party gifts (if applicable)
  • Suggestions & design for out-of-town gift bags, welcome baskets, etc…
  • Remain primary contact for vendors and manage all correspondence
  • Assist with the rentals of all décor props included but not limited to; lounge furniture, specialty linens, tableware, fabric draping, chair covers, etc…
  • Place all vendor orders so you don’t have to 
  • Jennifer Evans will personally attend and oversee the duration of your event to ensure that ideas implemented were executed with precision and to your liking.

  • gRewriting Your Dreams: Development of unique themed wording to coincide with the event theme for invitations, signage, menu options, table names, specialty tables, etc… Jennifer Evans Events also specializes in speech and poem writing for your special event.   • Client Space Saver: We will ship all event items to our in-house location (unless deemed different by client). Contact us for further details and pricing.
  • Pre-Event Preparation: Assembly of all event items such as invitations, gift bags, welcome baskets, favors, centerpieces, tags, labels, etc… can be added at a special hourly rate of $125.
  • RSVP Tracker: We will take on the task of tracking all of those tedious RSVPS’s and contact all guests who have not responded to ensure proper head counts! Pricing is dependent upon the amount of guests.
  • Vendor Ordering: Place all vendor orders so you don’t have to and utilize Jennifer Evans Events vendor discounts. Flat rate fee of $350 applies.
  • Prop rental: Jennifer Evans Event’s may have that specialty item that you are looking for. Contact us for further details and pricing.
  • Additional Wedding Day Coverage: This can be added for $150 per hour.
  • Additional Off Site Visits: This can be added at a special rate of $125 per hour, including travel time and other expenses such as tolls, parking, etc…
  • Personal Shopping & Bridal Imaging: Jennifer Evans Events has been known to have a sense of style! Let our “Dream Team” be your personal shoppers and take your wardrobe to the next level.
